Legal Secretary/Administrative Assistant – Personal Injuries

The role

A boutique law firm situated in a beautiful heritage listed building in the Brisbane CBD is on the lookout for an experienced and professional Legal Secretary/Administrative Assistant. Key Responsibilities

The full-time role will involve performing a range of administrative duties in an efficient manner with the highest focus on quality. These tasks include:

  • Preparing precedent letters and court documents;
  • Preparing briefs for Counsel and trial preparation;
  • Diary management;
  • Client appointments / travel arrangements;
  • Handling statutory refunds;
  • Digital dictation and word processing;
  • Photocopying, binding, faxing and scanning;
  • Answering phones, taking messages and assisting reception as required;
  • Ensuring all database information is up to date;
  • Daily file maintenance;
  • Maintaining electronic filing systems and correctly using document identifiers;
  • Using electronic document management systems;
  • Management of safe custody documents and enquiries; and
  • Other administrative duties as required.

You will be assisting 2-3 professionals, and work under the supervision of and alongside the Principals of the firm. Independent judgement and initiative are required to plan, prioritise and organise a diverse workload.

  • Proven and distinguished experience (1-2 years) in a Legal Secretary/Administrative Assistant role (in the area of Personal Injuries preferred);
  • Intermediate knowledge of Microsoft Office Suite, especially Outlook, Excel and Word;
  • Experience with iManage, LawDocs and Open Practice would be beneficial but is not essential;
  • Highly organised with meticulous attention to detail and accuracy;
  • Strong multitasking and prioritisation skills, with the ability to adapt to a fast-paced, busy office environment;
  • The ability to work autonomously and self-manage whilst building and nurturing positive relationships with colleagues and clients;
  • A willingness and interest in pro bono commitments;
  • Professionalism in communicating / organising meetings with high-level internal and external stakeholders;
  • Commitment to service excellence that matches our own and pride in who you work for;
  • A willingness to work in our Brisbane CBD office.
